Remote parents' evenings

Parent's evenings are an important part of the school calendar; one of the few chances a parent and a teacher have to sit down and discuss how things are going. But what do you do during the global COVID-19 pandemic, when parents aren't allowed into a school? We have a few ideas…

Parents' evenings in lockdown

Parents' evenings were always one of my favourite things to do as a teacher. I always felt parents' evenings were a great use of my time, particularly for students that may have been struggling - a golden opportunity that often had more impact than any homework or assessment, despite taking a fraction of the time.

In the UK, we're now into our second lockdown and whilst this time schools are open, parents are not normally allowed into the school grounds, to reduce the chances of transmitting the Coronavirus. This means that the way schools conduct parents' evenings must change and thankfully, there are a number of great tools out there that can help.

Online meeting software

Microsoft Teams

Teams is probably the most popular choice for remote learning in the UK at the moment. This means that parents and children are already well-used to logging on at home to access resources and chat with their teacher. Scheduled meetings can be used to facilitate parents' evening appointments, using the 'lobby' as a holding area for parents not currently in the meeting (make sure you've set your 'meeting options' correctly to ensure students on the same domain can't join someone else's meeting).

Google Meet

Many schools use the Google Suite instead of the Microsoft Equivalents, and may therefore wish to use Google Meet instead. Thanks to a recent update, Meet also has a feature equivalent to the Teams Lobby, whereby turning off “Quick Access” means that parents and students have to “Knock” to request to join a meeting.

Zoom

Another popular option for remote learning, thanks to their current offer of removing the 40-minute time limit for schools, Zoom is another worthy contender. With the 'Waiting Room' enabled, and 'Enable join before host' disabled, it can function just like Teams and Meet, without the risk of students or parents entering another student's appointment.

Useful features to look for

We've only mentioned the three most popular choices above, but there are undoubtably other options available. Whatever you decide to use, here's some useful features to look out for:

  • The ability to separate parents effectively using a lobby functionality.
  • The ability to have multiple people in the room, so school leaders can be involved in appointments if necessary.
  • The ability for meetings to be recorded, which schools can consider using for safeguarding reasons (though make sure you inform parents of this beforehand, via epraise messenger).
  • The ability to set setting backgrounds, so teachers can hide their private homes.
  • The ability to turn off your webcam or mute your microphone at any point.

    Managing the evening

    Sharing the link

    Regardless of which option you choose, each teacher will need a single link to their online meeting, that needs to be shared with parents. Then parents will need to click on the link at the appropriate time, for the teacher to admit them into the meeting when they're ready. We've already heard some great stories about how well this has worked, and many schools are considering allowing remote appointments even after the threat of COVID-19 has passed.

    Organising the appointments

    With the meetings themselves covered, the final thing to think about is arranging the appointments and sharing your link to the meeting you've created. If you're lucky enough to have our parents evening feature, we've got all that covered - inviting parents to book appointments, monitoring attendance and crucially sharing the link to your Team/Meet/Zoom meeting is all a breeze (Login and go to Home > Live events for a video of how to do this). If you don't, then you could share your appointment times and link via email instead, but do have a read about our parent's evenings feature here if you have time.

    Whilst online meetings are great, some parents may prefer the option of a phone call instead of an online meeting. You can use our booking hint feature to ask them to leave their preference in the parent note. When it's time to call the parent, just click on the appointment to reveal all the details you need, including the parent's phone numbers alongside the student's achievement, behaviour, homework and attendance summaries.
